Information theft is a growing concern across the nation, and protecting your information is important to Colorado Springs Utilities. We’ve established improved procedures to better identify you when you contact us by phone, email or visit us in person. We recognize that some of these changes may be inconvenient at first; however, they will better protect your business and financial information from unauthorized access. These improved procedures will be effective June 1, 2007. Small Business/Sole Proprietorship When contacting us by phone, email or the walk-in service center, you or another authorized person listed on your account will need to verify this information: - Company name
- Representative name
- Address
- Federal tax ID number or the last 4 digits of your Social Security number.
All Other Businesses If you or another company representative contacts the customer service center or the walk-in service center to make a billing, usage, service order inquiry or a payment arrangement on your commercial account, you will need to provide this information: - Company name
- Representative name
- Address
- Federal tax ID number or account password. An account password would be chosen by an authorized person listed on the account.
If you would like to update or make changes to your commercial account, such as changing the address, or start/stop service, you must provide the above information and you must be listed on the account as an authorized person. Third Party Billing Companies If your business uses a third party billing company (company that receives and pays your utility bills), Springs Utilities must have a copy of the consent for release agreement that is signed by the company representative on file in order to allow the third party billing company access to your account. You can either send the existing letter of agreement or complete the Colorado Springs Utilities standard form that is provided as an attachment to this letter. Additionally; when your third party billing company contacts Springs Utilities to make inquiries about your account or to make payment arrangements, they will need to provide your company tax ID number or a password that the third party billing adds to your account for their access. It is the responsibility of the third party billing company to provide verification information to their employees who may access your company account information. Property Management Companies If you or your business uses a property management company to manage your properties, or you are a property management company, Springs Utilities must have a copy of your Property Management agreement on file. This agreement must be signed by the Springs Utilities customer authorizing the property management company to make inquiries on the customer service accounts. If you do not currently have a signed agreement, you may fill out the attached consent to release form and fax it to Springs Utilities. Additionally, when the property management company contacts Springs Utilities on behalf of the customer, the property management company representative must provide the customer’s federal tax identification number or a password that the property management company has provided to Colorado Springs Utilities in order to identify its company representatives. The property management company is responsible for providing this password to its representatives that contact Springs Utilities to inquire about their managed customer service accounts. Additional Information If any of your contact or company information has changed recently or needs to be updated, please use the customer account update & change form and include your Federal Tax Id Number (EIN). Please provide us with a completed consent for release of customer information form with applicable information if you do not currently have one on file for your third party billing company and/or your property management company. |
